How to extract data in a vocabulary field?


To extract data that requires coding utilise vocabulary fields. In these fields, you can select the appropriate code from a provided list that best represents the extracted data. Vocabularies are prepared and uploaded by Data Manager or Project Manager and can be reused throughout different projects. As a Researcher, you can add new vocabulary code to the vocabulary (it will be a suggestion for your project manager or data manager).

  • In case when the extracted value is available in the code list, simply select it.

Tip: If you want to add text to support your decision, highlight it in the PDF and click the plus button.

  • In case when relevant code is not available on the list: 


  1. Locate the specific data in the document and highlight it. (you  establish a connection between the text in the document and the data extraction fields for easier quality assurance)

  2. Click the 'plus' button to add the highlighted data to the corresponding data extraction field, establishing a connection.

  3. Modify extracted value if needed. 

  4. Click ‘create term’.

If you want to extract similar groups of values repeatedly, you do not need to extract them manually each time - instead, you can use the ‘Duplicate entry’ button. 


 For example, if you need to extract the same outcome several times, with the same definition and unit, and the only variable is a different time point (see screenshot), you simply extract the common values and then duplicate the entry depending on how many time points you have.
