Performing data extraction - introduction


In the Project Dashboard you will find the following section:

  • On the right-hand side, you can monitor the current progress of each stage of your systematic review separately.

  • On the left you will find support materials (if provided by your project manager).

  • To access your extraction tasks, click on the arrow in the 'My task' panel or ‘eye’ icon on sidebar navigation panel


Tips: Remember that when records are assigned to you, you will receive an e-mail notification with a link, that redirects you to the data extraction panel

You can access your current tasks including data extractions ( for each phase of the systematic review from the My Tasks board. In this panel you can check: 

  • How many references you need to extract or review ('To extract' or 'To review'  tab)

  • How many references have been completed at each stage ('Completed' tab)


To start Data extraction, select the 'To extract' tab

To conduct QA, click on 'To review' in the Data extraction task section.

Note that Task Board related to Data Extraction may be different according to the distribution setup :

  • If you have been  assigned to a predefined number of records to be extracted, all of them will be visible for you in the 'To extract' tab. Number of all references assigned to you is available in the brackets

If  the 'Open pool of tasks' distribution method was selected  you have to claim tasks (articles) from the open pool of references. 'Open pool' blue icon will inform you that this method of distribution has been chosen. In the brackets you will see only the number of records that you claimed.

In the Reference list, you will find:

  •  A list of studies with their current status:


- 'Ready' indicates that data extraction/quality assurance has been  completed, and you can click 'Send Ready Extraction' to proceed.

- 'Draft' - studies for which the extraction/quality assurance process has already begun.

- Studies with no label indicate that you have not started to extract data from the articles assigned to you. Click twice on selected reference or use focus mode icon to start data extraction. 

  •  Filter section (you can filter studies by status and year of publication)

  •  Send ready extractions button (click when your extraction is ready)

In the Open pool of tasks distribution you can choose references to extract from the whole batch of PDFs assigned to your team. You can do it in a two ways:

  • By choosing 'Claim random references' - when you don't have preferences which reference you can extract, you may select it randomly

  • By choosing certain reference from the panel on the right - to expand the panel with the references selection, choose 'plus' icon in the upper right corner

Note: Once you have clicked on Send Ready Extraction, you will not be able to modify the extracted data here. Modifications are possible during the quality assurance stage, in the data cleaning module and on the reference detail view in the manager section.
